What you can expect from this position:
Reporting to the Associate Director, Real Estate Development and Leasing, this role acts as the primary tactical interface between the GTAA and its on and off airport tenants, responsible for developing strong relationships, addressing commercial agreement inquiries, coordinating financial matters, and providing assistance with various internal processes. This position also entails comprehensive management of commercial agreements, including ensuring billing accuracy in the Lease Management System, implementing rent increases, preparing detailed reports, and administering licensing and business interest applications. Furthermore, the role is crucial for maintaining the Enterprise Smart Maps (ESM) database with accurate leasable space inventory and tenant contact information, while diligently ensuring tenant compliance with all agreement terms through monitoring programs, inspections, and proactive issue resolution.
As a Representative, Commercial Agreement Administration, you will:
- Serve as the primary tactical interface between the GTAA and all on and off airport tenants/operators, fostering strong working relationships.
- Manage commercial agreements from end-to-end, ensuring accurate billing, rate implementation, and comprehensive data management within the Lease Management System (e.g Propworks, Yardi).
- Act as the principal liaison with Finance regarding tenant revenue streams, accounts receivable, and billing, resolving financial inquiries efficiently.
- Administer critical processes including the License to Operate and Business Interest Applications, serving as the first point of contact for potential customers.
- Maintain the Enterprise Smart Maps (ESM) database, ensuring accurate and current inventory of all leasable space and associated attributes.
- Lead tenant compliance monitoring programs, coordinating regular inspections, reviews, and audits to ensure adherence to agreement terms.
- Identify and resolve tenant non-compliance issues, determining and implementing effective courses of action to rectify concerns.
- Collaborate extensively with internal GTAA departments and Business Units on day-to-day operational issues and in support of strategic development plans.
- Monitor and track key agreement elements such as leasehold improvements, capital investments, rent deferrals, and incentives.
- Prepare and analyze monthly reports to track rent adjustments, expiry dates, and other essential commercial agreement actions, including revenue accruals.
- Prepare and deliver tenant communications, including formal notifications, memos, and operational updates, ensuring timely and accurate delivery of information.
This unionized position is classified at the Band 6 level, with an hourly wage of $41.72, based on a 37.5-hour work week.
This is the role for you, if you have:
- Post-secondary degree, preferably in business, economics, commercial property management or other related field.
- Minimum of 3 years of property management, lease administration and/or lease compliance experience in retail property and/or real estate industries.
- Valid Ontario ‘G’ class Driver’s license.
- Ability to obtain and retain a Transportation Security Clearance.
Knowledge and skills you bring, that set you up for success:
- Knowledge of Airport operations and how they relate to property management and rentals.
- Knowledge of various functions within property management and industry practices relating to commercial agreements i.e. Taxation, security deposits, insurance requirements, maintenance/facility requirements, rental rates etc.
- Strong analytical skills, including the ability to analyse financial, operational and statistical information and to consider the legal, business and monetary implications related to lease conditions.
- Proficiency with standard MS office and database computer software including property management resources.
