Job Description:

Scope & General Job Purpose:

To perform a wide variety of administrative duties and tasks, including but not limited to the shipment and distribution of aircraft spare parts, preparation of documentation, timely coordination and follow up with suppliers, customers, and forwarders as required by the daily operations.

Responsibilities:

  • Adheres to all corporate policies, guidelines and statutory requirements

  • Handles, coordinates, follows up on incoming shipments

  • Plans shipments based on product availability and customer requests

  • Dispatches Repair Orders and advises shipping details to Customers

  • Prepares and submits necessary documents required for clearance of inbound and outbound shipments, such as for e.g. commercial invoice, delivery note and delivery advice

  • Maintains Lists with all required details (i.e. BOE entry/ exit date) as per Dubai Customs requirements

  • Liaises with forwarders to ensure most timely, accurate and cost efficient forwarding for all inbound and outbound shipments

  • Maintains and Updates database of stocks

  • Physically safeguards aircraft parts (spares and piece parts) in compliance with industry / airworthiness regulations and applicable health & safety procedures

  • Maintains the logistic filling system to ensure the accuracy of all logistics related files

  • Ensures that supplies, stock, materials, packages, and/or products are processed through the warehouse system efficiently and safely

  • Ensures accuracy for the data entry and inventory of all stock

  • Performs AOG Duty - 24/7 availability (as per given schedule)

  • Performs other related duties as assigned by Management and/or Head of Operations

  • Provides back-up support to other group members in the performance of job duties as required

Key Performance Measures:

  • Works with the team and other department members to produce effective customer support strategies, procedures and methods

  • Contributes to the development and maintenance of standards, policies and procedures regarding customer support

Profile:

  • Experience in a similar position and aviation background would be considered as an advantage

  • Outstanding customer service skills

  • Excellent working knowledge of MS Office and/or Google Workspace

  • Excellent communication skills, both written and oral in English

  • Process, detail and result oriented with problem solving skills

  • Takes initiative, is proactive

  • Ability to work independently with a sense of accountability

  • Knowledge of Dubai customs import and export procedures/ forms and documentation
