What you can expect from this position:

Reporting to the Manager, Staff Deployment, this position is primarily responsible for implementing and administering Staff Deployment (SDP) Procedures to maintain sufficient staff for a successful shift. This position will also provide a central point of contact for operational staffing for the Managers of Operation.

As a Coordinator, Shift Scheduling, you will:

  • Provide all staffing related functions for staff that are subject to the Staff Deployment Procedures (SDP) which includes:
    • Receiving & processing shift trades, sick and family related responsibility calls, overtime call outs, maintaining departmental schedules and timekeeping
    • Action leave requests, overtime eligibility within the Collective Agreement and the SDP
    • Maintain & update appropriate staffing systems (UKG Workforce Management system & Scheduler)
  • Provide a central point of contact for operational staffing for the day-of Managers of Operation and validate the workforce at any given time
  • Provide Functional Managers with support related to staffing systems and annual bid vacation process
  • Respond to, and action ad hoc leave within a 120-day window and shift trades, within a 90-day window affecting staff schedules
  • Maintain and process Excel-based and/or automated schedule software/templates, and UKG payroll systems including overtime rates, hours of work, shift premiums, meal allowances, and standby pay for all employees covered by the Staff Deployment (SDP) procedures
  • Create and disseminate various daily reports related to shift activities, staffing levels, and productivity
  • Liaise with the Manager, Operations for each area to communicate progress and status of staffing in their areas of responsibility during routine, irregular and emergency operations thereby ensuring sufficient qualified personnel to perform required tasks
  • Support HR in process changes including identifying inconsistencies in the application of the SDP, application of new pay or shift codes, assisting in departmental sign-offs, and providing guidance to users of the systems
  • Develop and maintain working relationships between Functional Managers, Manager, Operations (all areas), Supervisors, and employees as it relates to the SDP and Planned Work Programming on shift.
  • During operational emergencies, call in Management who are part of the Passenger Care Team and on Stand-by

This unionized position is classified at the Band 3 level, with an hourly wage range of $35.11, based on a 37.5 hour work week. As part of the recruitment process, you will be required to complete a test.  

This is the role for you, if you have:

  • Two+ (2) years of demonstrated experience in a customer service role
  • Experience in scheduling staff is preferred
  • Knowledge of airport operations would be considered an asset
  • Ability to obtain and retain a Transportation Security Clearance
  • A high school diploma

Knowledge and skills you bring, that set-you up for success:

  • Ability to balance multiple priorities and meet tight timelines, both independently and as a member of a small team while on shift
  • Working knowledge of Microsoft Office 365 suite comprising of Outlook (including e-mail, calendar and tasks), Word, Excel
  • Ability to communicate effectively with numerous departments and customers
  • High degree of tact in dealing with multiple priority requests
  • Understanding of scheduling processes/procedures
  • Ability to interpret and apply complicated or conflicting applications related to the Collective Bargaining Agreement and Staff Deployment Procedures for all staff, Managers of Operations and Functional Managers
  • Understanding and application of pay codes and scheduling systems such as UKG
  • Ability to multi-task, prioritize and reprioritize tasks dynamically and excellent time management skills
  • Must be able to perform shift work in an atmosphere that may result in distraction and interruption of work routines
  • Ability to demonstrate effective interpersonal and problem-solving skills
