Job Description:

Airbus Commercial Aircraft is looking for an Assistant to the VP Head of Flight Hour Services (f/m) to join our Customer Services Department based in Toulouse, France.

The Airbus Flight Hour Services is one of Airbus’ main levers for Customer Satisfaction and Fleet Safety by offering, all along the aircraft operations, best-in-class, differentiated Material, Engineering and Maintenance Integrated Services while securing long term profitable business for Airbus.

You will be responsible for supporting on time and efficiently the HO and his team (around 200 people based in Blagnac and 400 people worldwide in Regions) in agenda management, internal & external communication, as well as organizational/administrative tasks.

Your challenges:

As Personal Assistant to the VP Flight Hour Services

  • Diary Management,

  • Monitoring of mailbox,

  • Trips booking Visa Requests Management and issuance of expense reports,

  • Phone Calls Filtering

  • Support on some HR related topics

  • Events Management (Meetings, Workshops, Team Booster…)

  • Collecting information for decision making,I

  • Information Cascading, (notes, memos,, nomination letters)

As administrative support to the team:

  • Supporting the SLR Transformation Core Team in taking part to some communication actions relative to the Transformation Plan ( #Next Level by FHS ), and especially organizing the Change Days ( agenda set up, collecting contributions, achievement follow-up, newsletter...)

  • Welcome of newcomers (space and IT material orders - authorizations of accesses)

  • Newcomers Days Logistics Organization & Coordination

  • I share and Shared-Folders rights management

  • Office supplies ordering

  • Cascading of information

  • Meetings & Workshops rooms booking

  • Logistics Coordination for SLRx workshops & Events (Catering,Visitors Access)

  • Visas Requests Management

  • Subcontracting Pos & Access Management for SLRx

  • Customers Gifts & Stationeries Ordering

  • Facility Management Requests

Your boarding pass:

  • At least 5 years experiences as assistant/secretary for a head of department

  • English mandatory, ability to work in an international environment

  • Strong organisational skills, reliable, take ownership

  • Flexibility, ability to adapt in a versatile environment

  • Good communication skills/act as a team player, dynamism and positive attitude

  • Customer oriented mindset

  • Airbus background (organisation, processes and tools) is a real plus

  • Knowledge of the Airbus Customer Services environment is a plus
