Explore your next role:

The Training Coordinator is responsible for coordination of company-wide training, facilitating oversight on training compliance obligations (Transport Canada, Canada Labour Code, Internal Policy and Procedure, IT security, customer and vendor obligations, etc.).

You will maintain the company Training Matrix, liaise with department managers and trainers to ensure all training obligations are met effectively, and ensure training records, assignments, and tracking are up to date at all times.

This role also includes administration of company training tools and software, as well as the development and maintenance of workflows, standards, and vendor relationships related to training processes, content, delivery, and compliance obligations.

Your Responsibilities

  • Develop standard work processes to ensure all training requirements, including assignment, delivery, and records management, can be achieved in a timely fashion.
  • Manage and maintain the company Training Matrix, including applicability of training, adding or removing programs, and updating employee workgroups and positions as they evolve.
  • Review and update Training Matrix and records to assess compliance with company policies, procedures, and regulatory requirements.
  • Liaise with the Document Development Specialist to ensure all new or amended training compliance requirements are reflected in the Training and Compliance matrices.
  • Source, assess, seek approval for, and book vendors for training requiring specific certifications not available within Voyageur.
  • Coordinate with department trainers and management to establish and monitor effective performance measurements to ensure continuous improvement of training delivery.
  • Conduct work observations of Voyageur training activities and external training providers to identify opportunities for improvement and vendor performance.
  • Coordinate and assign compliance and company-required training (internal and external) within the Training Matrix and tracking software.
  • Assign training requirements to new onboarded employees and update reassignments or promotions in applicable systems.
  • Coordinate with trainers and managers across departments (Flight Attendants, Pilots, Field Ops, Maintenance, Occupational Health & Safety, Corporate, etc.) to ensure training assignments meet obligations and mitigate unnecessary assignment fatigue.
  • Maintain training within company software and related systems for assignment, tracking, delivery, testing, and monitoring.
  • Develop and provide guidance to persons responsible for reviewing training courses to ensure compliance and applicability with company policies, procedures, and operations.
  • Develop guidance for creating new training programs and materials to ensure all required features are communicated and documented appropriately (delivery method, compliance objectives, position requirements, frequency, etc.).
  • Monitor statistical information gathered from training software to evaluate outcomes and ensure delivery methods are effective.
  • Collaborate with trainers, SRMS, and management teams to identify and implement continuous improvement opportunities in training content and delivery.
  • Maintain employee training files and ensure timely updating, sorting, reviewing, formatting, and uploading of training documents.
  • Liaise with internal and external auditors (regulators, customers, and others) to ensure transparent quality assurance oversight.

Your Distinctive Ingredients for Success:

  • Diploma or degree in Records Management, Education, Computer Science, Library Science, Business Administration, or a related field
  • Minimum 5 years of experience in training content delivery and coordination/management
  • Strong knowledge of training compliance requirements (e.g. Transport Canada, Canada Labour Code, Internal Policy Procedure, IT Security)
  • Experience maintaining and updating a company-wide Training Matrix and ensuring accurate training recordkeeping
  • Proficiency in administering training tools or platforms
  • Proven ability to collaborate with department managers, trainers, and external vendors to coordinate effective training programs
  • Skilled in developing and streamlining training workflows, standards, and documentation to support continuous improvement
  • Excellent communication skills, both verbal and written
  • Proven time management and organizational skills with the ability to prioritize and multitask effectively
