About the role

We are a growing technology start-up that was born out of a project within Agile Robots SE, one of Europe’s leading robotics and AI companies.

To support our journey, we are looking for an HR Operations / People Operations Manager who will take ownership of our day-to-day HR processes and administration. This role is key to ensuring a smooth employee experience, reliable HR operations, and compliant processes – and will form the backbone of our HR setup as we continue to scale.

You will work closely with leadership and our senior HR stakeholders and play a central role in building robust structures that allow our team to focus on what they do best: building outstanding technology.

Your Responsibilities

1. HR Administration & Employee Lifecycle

  • Manage employment contracts, amendments, certificates, and reference letters
  • Handle onboarding and offboarding processes end-to-end, including feedback interviews
  • Maintain employee files and documentation (digital & compliant)
  • Act as first point of contact for employees regarding HR-related questions

2. Payroll & External Partners

  • Prepare and validate payroll data in collaboration with our external payroll provider
  • Manage communication with tax advisors, social security offices, and authorities if needed
  • Ensure accurate handling of absences, parental leave, sick leave, and other statutory matters

3. HR Systems & Data

  • Own, maintain and improve our HRIS Personio
  • Ensure data quality, reporting, and documentation standards
  • Own or support the setup and improvement of HR tools and workflows

4. Process & Compliance

  • Establish and continuously improve HR operational processes and policies
  • Ensure compliance with labor law and internal policies
  • Support audits or due diligence processes when required

5. Collaboration & Support

  • Work closely with leadership and a senior HR advisor
  • Enable strategic HR work by keeping operations stable and efficient
Essential Skills
  • 2–5+ years of experience in HR Operations, HR Administration, or People Operations
  • Solid knowledge of local labor law and HR administration processes
  • Fluent German and English skills
  • Experience working with HR systems (Personio is a strong plus)
  • Confident in payroll preparation and coordination with external providers
  • Very strong organizational skills and attention to detail
  • Comfortable working independently in a fast-paced, changing environment
