Position Summary:

To provide administrative and operational support to Aerospace General Manager, senior managers and division top-level executive/senior leaders.

Scope/Supervision and Interaction:

  • Report directly to Aerospace General Manager
  • Support Aerospace General Manager and senior managers on administrative and operational requirements
  • Coordinating daily calendars of Aerospace General Manager and senior managers
  • Planning appointments and events – domestic and international
  • Act as the point of contact between Aerospace General Manager and Aerospace team, divisions, internal and customers
  • Lead and drive Aerospace office and team activities and initiatives (ie Engagement HPT, monthly celebrations, annual events, PAC/JV team buildings…etc)
  • Core member of the Aerospace leadership team 

Job Responsibility: 

  • Coordinate daily calendars of General Manager and senior managers
  • Provides administrator duties to the Aerospace senior management team
  • Plan appointments and events – domestic and international
  • Act as the point of contact between Aerospace General Manager and Aerospace team, divisions, internal and customers
  • Create regular reports, meeting notes, letters and data collections
  • Make travel arrangements, bookings
  • Manage phone calls and emails
  • Respond promptly to senior managers’ queries
  • Facilitate internal communication (e.g. distribute information and schedule presentations)
  • Lead and drive Aerospace office and team activities and initiatives (ie Engagement HPT, monthly celebrations, annual events, PAC/JV team buildings…etc)
  • Suggest more efficient ways to run the office and troubleshoot malfunctions
  • Liaise with internal and/or external contacts on areas of responsibility
  • Review and recommend changes to office policies
  • Other assigned tasks from management team.

 

Qualifications: 

  • College degree or above, major in business or administration or an equivalent level of experience.
  • Minimum 1-4 years’ working experience, preferably in Aerospace.
  • Familiarity with online calendars and cloud systems
  • Strong communication skills 
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think proactively and prioritize work
  • Possess ownership for issues. 
  • Proficient in English and computer literate
