Position Summary:
To provide administrative and operational support to Aerospace General Manager, senior managers and division top-level executive/senior leaders.
Scope/Supervision and Interaction:
- Report directly to Aerospace General Manager
- Support Aerospace General Manager and senior managers on administrative and operational requirements
- Coordinating daily calendars of Aerospace General Manager and senior managers
- Planning appointments and events – domestic and international
- Act as the point of contact between Aerospace General Manager and Aerospace team, divisions, internal and customers
- Lead and drive Aerospace office and team activities and initiatives (ie Engagement HPT, monthly celebrations, annual events, PAC/JV team buildings…etc)
- Core member of the Aerospace leadership team
Job Responsibility:
- Coordinate daily calendars of General Manager and senior managers
- Provides administrator duties to the Aerospace senior management team
- Plan appointments and events – domestic and international
- Act as the point of contact between Aerospace General Manager and Aerospace team, divisions, internal and customers
- Create regular reports, meeting notes, letters and data collections
- Make travel arrangements, bookings
- Manage phone calls and emails
- Respond promptly to senior managers’ queries
- Facilitate internal communication (e.g. distribute information and schedule presentations)
- Lead and drive Aerospace office and team activities and initiatives (ie Engagement HPT, monthly celebrations, annual events, PAC/JV team buildings…etc)
- Suggest more efficient ways to run the office and troubleshoot malfunctions
- Liaise with internal and/or external contacts on areas of responsibility
- Review and recommend changes to office policies
- Other assigned tasks from management team.
Qualifications:
- College degree or above, major in business or administration or an equivalent level of experience.
- Minimum 1-4 years’ working experience, preferably in Aerospace.
- Familiarity with online calendars and cloud systems
- Strong communication skills
- Experience exercising discretion and confidentiality with sensitive company information
- Excellent organizational skills with an ability to think proactively and prioritize work
- Possess ownership for issues.
- Proficient in English and computer literate
