Administrative Assistant - Airport & Economic Development (One Year Term)

Duties & Responsibilities
- Maintain and update the Airport's digital & physical filing system, including the Airport Operations Manual (AOM), Safety Management System (SMS) & YQV portion of the Canadian Flight Supplement (CFS).
- Coordinate website updates for the Airport and Economic Development divisions.
- Receive and direct correspondences, including email.
- Create cheque requisitions and purchase orders for supplies or services through the City's Accounts Payable Clerk.
- Create invoices for services through the City's Customer Service Representative.
- Serve as secretary to the Yorkton Airport Authority, including scheduling meetings, assembling and circulating meeting packages, and recording minutes.
- Schedule meetings for Airport Manager and tenants/stakeholders, and circulate notice to attendees; book meeting rooms.
- Liaise between the Airport Superintendent, City staff and the Airport Manager.
- In support of the Economic Development Committee, coordinate meeting venue bookings, assist with meeting setup including audio/visual preparation and coffee supplies, and record meeting minutes.
- Process orders for supplies or services related to the Department.
- Create cheque requisitions and purchase orders for supplies or services through the City's Accounts Payable Clerk.
- Create invoices for services through the City's Customer Service Representative.
- Assist with website updates, marketing initiatives and special projects.
- Provide coverage for the Building and Engineering Services Administrative Assistant
Qualifications
- Post-Secondary Diploma in a related Business/Administration/Communications/Marketing field and/or demonstrated experience in duties outlined in the Job Description
- Proficient computer skills, including demonstrated knowledge of Excel, Word, Outlook and Adobe Creative Cloud; knowledge of Vadim software an asset
- Knowledge of financial management and accounting practices.
- Excellent interpersonal skills in dealing with the public, other city departments as well as contractors and consultants
- Excellent verbal and written communication skills
- Excellent organizational skills
- Ability to work with minimal supervision
- Possess and maintain an RCMP security clearance
